Prior to Session

Send reminder email to parent volunteers two days prior to session.

Print off student roster and bring to session with details of any known absent students

3:20 Set-up

Find your canvas bag from the chess club closet in the hallway next to the trophy case. Check for clipboard with sign-in sheet, adhesive name tags for students, complete contact information for each student and demo board-chess pieces.

3:25

Go to outside entrance of multipurpose room. Enter only after P.E class is dismissed

Stand in your team’s meeting point within the MPR

3:30 Check-In

Work with the parent volunteers to hand out adhesive name tags.

Ask a volunteer to take easel, demo board and chess-sets into the library. Chess sets are stored on the cart next to trophy case. Easels and demo boards are in the storage closet.

Check names off as kids sign-up. Any child that is not at chess club and not excused must be tracked down by checking with the front office for attendance that day and by calling the parents and contacts form the registration form.

Kids must eat snacks in the MPR. BE AWARE OF ANY FOOD ALLERGIES IN YOUR GROUP.

Remind the kids to discard their trash. KIDS MUST STAY OFF STAGE AND NOT PLAY WITH ANY EQUIPMENT.

3:40 Meeting

Coach Leo addresses all groups in the MPR

Handle any disruptive children by speaking to them, sitting with them, or removing them from the group

3:45 Group Sessions

When snack is over, take the students to the assigned room – remember there should be NO SNACKS in the session rooms.

Keep track of children who need to leave for the restroom or water.

If a child is disruptive, either speak or sit with or remove the child for a few minutes. Team Managers are responsible for maintaining discipline to free coaches to teach.

4:40 Start Wrap-Up (4:55 for Lions)

Remind Coach of time

Have kids lay out chess boards to check for full sets, then put pieces in bags and roll boards (printed side out) and slip into bag sleeve. Assembled bags are to be stored neatly in the storage box. Return box to cart.

Return all tables and chairs to pre-meeting set up – it’s vital that we always leave the room as we found it

Make sure children clean up any garbage and collect all their personal belongings

4:45 Check-Out (5:00 for Lions)

K – 3rd Grade children may only leave when parents have signed them out.

4:50 Clean-Up

If kids are not being picked up, you must call a parent.

Assist with returning room to order. Return easel, display board and canvas bag to storage closet, chess sets to storage area (cart next to trophy case). Ask parent volunteers to help you with any of this.

Report any coach absences by email to alexandersw@comcast.net.

THANKS SO MUCH FOR YOUR SUPPORT!
